Unity Accounts of Former Students and Employees

Unity accounts provide users with access to the many resources of the University as long as they are a part of the University. The validity period of the unity account, its deactivation, and deletion can vary for different users.

 

For Students

  • A student’s account is deactivated 1 month after he/she/they graduates.
  • If a student takes a semester off, that is, he/she does not register by census date (final day of drop/add), then the unity account will be deactivated on the census date.
  • The student will not be able to log in to the deactivated account or have access to files stored under it.
  • The account is deleted one year after deactivation.
  • For example, if a student is not registered by census day of a spring semester, then his or her account will be deactivated. If that student is also not registered by the following fall semester census day, then the account will be deleted. Summer is not considered a separate semester for this purpose.

 

Extended access for new graduates

  • Access to G Suite
    • Effective July 2017, students who graduate with a degree will have access to the full G Suite of services for one year after they graduate.
    • Users who graduated after May 2010 will have ongoing access to their NC State G Suite account until further notice
    • OIT is working to provide a new G Suite alumni domain as well as tools to allow NC State graduates to copy their G Suite account data, if they wish to retain this information.
    • OIT will provide graduates with access to the new G Suite alumni domain in a phased approach. Graduates with an active NC State Gmail account will be contacted with more information regarding the process to copy their account data to this new domain or elsewhere (e.g., a personal Gmail account). Graduates will have at least one year to complete the data migration.
  • Access to Other IT Services
    • For 1 month after graduation, new graduates will have access to:
      • campus-based file space and other services
      • email and file space remotely.
      • web pages on the www4.ncsu.edu server via the internet.
    • This access is offered as a courtesy to help the many graduates who use web resumes in their job search and career planning strategies.
    • New graduates will not be able to log in to public workstations in campus computing facilities; e.g., Unity labs.
  • Access to MyPack Portal
    • New graduates are allowed to log in to the MyPack Portal Self-Service page to access their student information.
    • This access remains until the account is deleted from the system.

 

Staff and Faculty (Part-time/Temp included):

  • The OIT account staff looks for the Employee Status in PeopleSoft.
  • If the employee is active, then the account will stay active.
  • An account which is currently deactivated in the system, but is active in HR, will remain deactivated.
  • Materials contained within that account may be inaccessible depending on the file system or mechanism being used to grant access.
    • AFS  will still be there, but locked down from the user in Access Control Lists (ACLs).
    • Google Sites would still be there, but with the account suspended, only the other people who also had access would continue to have that access.
    • They would retain access to the Mypack Portal but could lose access to certain systems that run on the Portal.
  • If the account is reactivated at some point during the deactivation period (taking a class or hired by the University for example), then the account activates with the same password it had while deactivated. Files stored in AFS will be accessible again. Email and other Google Apps accesses would be just like it was left.
  • Once a user moves into deactivated status, the account will be deleted in 1 to 3 years.
